A ‘CTF’ is a Common Transfer File and can be used to update a student’s personal details as well as their parents’ contact details. It can also include statutory assessment data such as Early Years, KS1 and KS2 results.
It’s easy to import data via a CTF file from another system using our Import Wizard
Head to Admin > Import
From here, new files can be uploaded and recent imports can be reviewed, re-imported or downloaded.
To import a CTF:
1. Click Choose File to start your file upload.
2. Use the file browser to select the relevant file click Open.
3. Click Upload in the Import Wizard screen.
This will take you to a Summary screen which will show a summary of what data has been included in the CTF as well as listing basic details of all pupils in the file.
The CTF loader uses UPN to match and any matched pupil will appear as green ('Matched') - any data included in the CTF will therefore overwrite your existing data for these pupils unless de-selected.
Any unmatched they will display as Red (‘New’) and will be created as a new record. It is important that a Start Date is entered if importing on a different day to the pupil’s actual start date. If this field is left empty, the system will assume a start date of the date of the import.
If the CTF does not match an existing pupil as expected, please check the UPN of the existing record to ensure that this matches the one in the CTF before loading.
The tick boxes can also in the Pupils area can be used to only load data for specific pupils and the boxes in the 'Attempt to load' area can be used to select / ignore certain elements in the CTF (eg contacts).
Click Continue when ready and you will see confirmation that your data has been updated / imported.
