There are two approaches to creating new classes for the next academic year.
The first is to create each new class 'from scratch' as an empty class to which pupils can be added manually which is ideal for new class structures which involves mixing classes from the current year (eg next years 3B class is made up of a mixture of pupils from 2A and 2B).
The second is where classes for next year are 'promoted' / copied from current academic year to next (eg current 2B in its entirety is to become 3B next year)
Both approaches are detailed below.
For full instructions of how to prepare for the new academic year, please refer to Preparing for the New Academic Year
1. Creating brand a brand new class structure
Navigate to Pupils > Groups and use the 'year' dropper to select the academic year you wish to create classes for:
Once selected, you will see any classes already created for that year if any exist.
To add a new class, click on the + icon and fill out the relevant information (when adding a class name, it is often useful to add an academic year in the Title field to differentiate from current years classes).
In order for attached teachers to be able to take the register for a class, the 'Timetabled Teaching Group' flag must be selected (don't worry about the start and end year date fields as these will correct to reflect the year groups of pupils added to the class):
Once created, pupils and staff can be added by selecting the +/- icon. You will notice that as the class is a 'future' class, both the current and future year group will display for reference:
To choose Pre Admission pupils, select the 'Pre-Admission' pupils from the 'show' drop down
Further guidance on how to add staff to classes (for registration purposes) can be found in How to add staff to a class
2. Copying / promoting existing class structure
Navigate to Pupils > Groups > Advanced
Use the dropper to select Classes from Today - this will display all current classes. Also ensure that the year you are copying to is set correctly:
To copy a class, simply add the new class name into the text field - in the below example, pupils in 1A will be added to a new class called 2B with pupils in 2A being copied into a new class called 3B etc.:
Select 'copy' to copy the selected classes
** Please note that to allow Teaching Staff to take registers for their associated classes, they must be added to their corresponding classes, irrespective of which option is used. Further details can be found in How to add staff to a class **
